General Purpose

Facilitates activities in an effective sequence by monitoring tasks, task-owners timelines and expenditures. Compiles data, tracks, summarizes, and reports results, and develops and/or maintains reference information and databases. Compiles, organizes, and summarizes data from multiple sources; monitors/tracks processes to ensure their execution within defined parameters. Determines schedules and availability of resources/materials. Ensures activities are performed in accordance with contract, Corporate, and regulatory agency requirements.

Responsibilities

  • Provide complex project management and advanced administrative support for complex departmental needs.
  • Act as the “go to” person for information.
  • Track, review and process invoices.
  • Compile complex data, track, process, summarize and prepare reports and results as requested which may not have precedent.
  • Develop and/or maintain reference information and databases of a complex nature.
  • Record and document management policies, ensuring compliance with record/document retention/disposal procedures.
  • Work with Procurement department to set up new vendors.
  • Prepare monthly accruals of expenses for finance department.
  • Interface with internal and external customers, research and resolve complex billing issues. Make adjustments as necessary.
  • Assist other employees with work assignments as assigned.

Requirements

  • High school diploma; or the equivalent combination of education and experience.
  • A minimum of 3 years related experience.
  • Project management experience.
  • Excellent attention to detail.
  • Flexibility in establishing deadlines and priorities in a changing business environment with typically tight schedules.
  • Ability to organize, coordinate and prioritize tasks, and be accountable for outcomes.
  • The ability to multi-task well in order to determine the importance of a request and forward request to appropriate resources to be addressed.
  • Ability to lead a team and/or mentor employees.
  • Act as a resource to other employees.
  • Professional communication and interpersonal skills including the ability to consult with internal and external customers at all levels of the organization regarding matters/issues which may be sensitive and complex in nature.
  • Proficient with software applications including Microsoft Word, Excel, Outlook and Access.
  • Proficient in creating electronic documents that are complex in nature.

Preferences

  • Basic knowledge of SAP
